The Ultimate Guide to Choosing Membership Management Software

Which Membership Management Software to Choose

Choosing the right membership management software can be the difference between a thriving community and an administrative nightmare. This article compares three common software. We’ve evaluated 3 different membership management software below. These are our opinions as well as the opinions of nonprofits that we’ve worked with.

1:  Paid Membership Pro:

Membership Management Software

As WordPress developers, we really like this solution as it completely integrates with WordPress, so users don’t have to have multiple logins, and everything you create is part of your website. The customization options are endless, and your organization owns the data, even if you cancel your subscription, because they have a free option.  Example of Paid Membership Pro.

  • It turns your existing website into a full-scale membership platform. It is designed for organizations that want total ownership of their data and the ability to customize every pixel.
  • Design:  It will match your WordPress website so the effect is seamless.
  • Pricing: PMPro is famous for its free core plugin. However, most nonprofits will need the “Standard” or “Plus” plans (ranging from $174 to $299+ per year) to access essential add-ons like advanced member directories and specific payment integrations.
  • Flexibility: Unmatched. Because it is open-source and built for WordPress, you can create unlimited membership levels, custom profile fields, and restricted content “the WordPress way.”
  • CRM Integration: It integrates with popular tools like Mailchimp, HubSpot, Salesforce, and Zapier. More importantly, it can turn WordPress itself into a lightweight CRM.
  • Payment Gateways: Supports all major players, including Stripe, PayPal,  Apple Pay, and Google Pay, with no additional transaction fees beyond what the gateway charges.

The Benefit of a WordPress-Integrated CRM

  • When your membership software is a WordPress plugin, members don’t have to log into a separate “portal” on a different domain; they stay on your main site, increasing conversion rate
  • Unified Data: When a member updates their email address on your site, it’s automatically updated in your membership database.
  • Cost Efficiency: You avoid the “integration tax” of paying for third-party bridges to make two different systems talk to each other.

Over 65 additional extensions

  • Member Directory & Profiles: Allows members to search for one another and view custom profiles.
  • Member Approvals: Gives admins the power to review and approve/deny new applicants before they get access.
  • Membership Card: Provides a digital (and printable) membership card for members to show at events.
  • Member Homepages: Redirects members to a specific “Welcome” page based on their membership level.
  • Donations at Checkout: Adds a “contribution” field to the membership form so users can give extra during signup.
  • Proration: Automatically calculates credits when a member upgrades or downgrades their plan mid-cycle.
  • Auto-Renewal Toggle: Gives members the choice to turn off automatic recurring billing.
  • Variable Pricing: Allows for “Pay What You Want” models or sliding scale dues.
  • Group Accounts (Sponsored Memberships): Allows a single “Parent” (like a corporation or school) to pay for and manage several “Child” accounts.
  • Import Members from CSV: The standard tool for migrating existing member lists into the software.
  • Recurring Payment Email Reminders: Sends automated alerts to members before their card is charged or if it’s about to expire.
  • Membership Manager Role: Creates a limited WordPress login so a staff member can manage members without having full “Admin” access to the website settings.
  • Series (Drip Feed Content): Schedules content to be released to members over time (e.g., 30 days after they join).
  • Mailchimp Integration: Automatically syncs member data to specific email marketing lists.

Membership Management Software

2:  Join It

Join Itis an all-in-one CRM/and Membership Management.  It doesn’t try to do everything; instead, it focuses on being the perfect “middleman” that connects your membership data to the tools you already use.

  • Pricing: Very nonprofit-friendly. It has pricing tiers, starting with $29/month for a very basic package.  It’s not until you get to their higher level ($189/month) that you can remove branding and have a front-end member directory.
  • Flexibility: Extremely easy to set up (minutes, not weeks). However, it offers less customization of the “user experience” on your website compared to PMPro.
  • Free Trial:  We really liked that aspect of it.
  • CRM Integration: Join It excels here. It is designed to sync perfectly with external CRMs like HubSpot, Salesforce, or Mailchimp.
  • Payment Gateways: Primarily built around Stripe, offering a very sleek, modern checkout experience that supports Apple Pay and Google Pay natively.
  • Design Customization:  It can look somewhat like your website, but more general in scope, like colors and fonts, not the exact duplication of your theme, the way that Paid Membership Pro does.
  • Integrates with WordPress:  It appears that we can integrate it with your WordPress website, but we haven’t tested this functionality.  We’ve seen many nonprofits linking off to the membership database, which means a different link.  View an example of how it works.

Pros of Join It

  • Fast setup:   It doesn’t require a developer, hosting setup, or complex database mapping. However, it does require time to navigate their admin panel and learn how to customize everything. It looks fairly easy to set up
  •  Checkout Experience: Easy checkout flow that supports Apple Pay, Google Pay, and ACH.
  • Renewal reminders, failed payment retries (dunning), and welcome emails are automatically sent without needing extra add-ons.
  • Integrates with Eventbrite: Syncs member-only ticket discounts automatically.
  • Mailchimp/Constant Contact: Keeps your email lists updated in real-time as members join or expire.
  • Slack: Can automatically invite new members to a private community.
  • Digital Membership Cards: It generates professional digital cards that members can add directly to their Apple Wallet or Google Wallet, saving your nonprofit the cost of printing and mailing physical cards.

The Cons of Join It

  • The “Service Fee” (Transaction Tax): On lower-tier plans, Join It charges a 1.5% to 3% service fee on top of your Stripe processing fees. This can be a major “hidden cost” if you have a high volume of transactions.
  • Limited Customization (Branding): You cannot “pixel-perfect” the design of your membership pages. You are limited to their templates, and you must be on the Extra Plan ($199/mo) to remove the “Powered by Join It” branding and use a custom domain.
  • Simple Email Marketing: While it sends transactional emails (receipts, renewals) perfectly, its “Email Blast” tool is very basic. You will likely still need a separate tool like Mailchimp for newsletters.
  • Certain essential features for growing nonprofits—like a Member Directory or the ability to use PayPal—are locked behind the more expensive “Total” or “Extra” plans

3: MemberClicks

Membership Management Software

MemberClicks (by Personify) is an “Association Management System” (AMS). Unlike a plugin, this is a standalone, enterprise-grade platform designed specifically for professional associations and mid-to-large nonprofits.

  • Pricing: This is the high-end option. Pricing is quote-based but typically starts around $3,500–$4,500 per year, plus significant implementation fees.
  • Flexibility: While highly powerful, it is a “walled garden.” You are limited to the features they provide, though those features (like committee management and job boards) are built specifically for nonprofits.
  • CRM Integration: MemberClicks is the CRM. It handles member records, event registrations, and financial tracking in one database. It also integrates with accounting software like QuickBooks.
  • Payment Gateways: Uses its own proprietary gateway (MC Pay) or integrates with major providers, though setup is more rigid than a plugin.  There is a monthly charge  ($12) and a setup fee ($190).  Processing fees are similar to those of other payment gateways.  However, you can pass some fees to the member on checkout.
  • Design:  There is some design flexibility, but it will not take on the style of your website.
  • WordPress Integration:  There is a WordPress integration allowing for single sign-on.

Latest reviews on Member Clicks:

  • Post-Acquisition “Service Lag”: Since being acquired by Personify, many long-term users have reported a decline in the “boutique” customer service that MemberClicks was originally known for.
  • The “Sorry” Response: Users frequently mention getting “it is what it is” responses to technical issues rather than proactive solutions.
  • Support Delays: While they offer a knowledge base, getting a live human on the phone or a quick resolution to a customer bug can be a multi-day process.
  • Steep Learning Curve & “Clunky” UX: MemberClicks is an enterprise-level system, which inherently makes it more complex.
  • Multi-Step Tasks: Simple actions, such as setting up a new member or creating a registration form, often require significantly more steps (sometimes 20+) compared to streamlined tools like Join It.
  • Outdated Interface: While functional, the backend UI is often described as feeling “old-school” and less intuitive than modern web apps, requiring more staff training.
  • Rigid “Walled Garden” Ecosystem: MemberClicks is designed to be your entire world. If you want to use external tools, you’ll hit roadblocks:
  • Limited Integration (The Zapier Issue): Unlike Paid Memberships Pro or Join It, MemberClicks has historically lacked a robust, native Zapier integration. This makes it very difficult to connect your data to niche tools (like a specific texting app or a custom CRM).
  • Restricted Reporting: While it has many built-in reports, users often complain that they cannot easily customize the logic or layout of these reports to fit unique board requirements.
  • Auto-Renewal & Penalties: Some users have flagged “heavy-handed” billing policies, including difficult cancellation terms and significant price hikes upon renewal that can strain a nonprofit’s budget.
  • Technical Glitches “Test Payment” Bugs: There have been reported quirks with certain payment gateways (like PayPal) where receipts or notifications intermittently display “Test Mode” text even on live transactions, confusing members.
  • Formatting Frustrations: Users often struggle with the built-in web editor, noting that getting forms or pages to look “modern” and professional requires extra effort or help from their support team.

What membership management software do we recommend?

  • For maximum flexibility and lowest annual cost, Paid Membership Pro.  Especially if you are looking to have a seamless integration with your website.  Our clients have been very happy with this software, and so have we.  However, it does come with a one-time development cost to ensure that your membership not only has all the features you want, but looks the way you want it to.
  • For a fast start-up that requires no development, we’d recommend Join It. We know we can customize it,  and it also integrates with WordPress.  We haven’t had that much experience with it, but we are on trial now.  We’ll update this shortly.
  • For us, Member Clicks is a no for now.  Just looking at their admin panel, which looks at least 20 years old, we can’t put our stamp of approval on it.  People may like it, it seems very expensive as well as outdated.  Maybe there will be upgrades soon.

F.A.Q.s About Donation Software

What is membership management software?

Membership management software is a specialized digital tool used by nonprofits and associations to centralize member data and automate administrative tasks. It replaces manual spreadsheets by handling online registrations, automated renewal reminders, secure payment processing, and member-only content access, allowing staff to focus on community engagement rather than paperwork.

What is the best membership management software?

The “best” software depends on your organization’s technical capacity and budget. Paid Memberships Pro is ideal for WordPress power users seeking total customization. Join It is the best choice for small-to-mid nonprofits needing a modern, fast setup. MemberClicks remains the gold standard for large associations requiring enterprise-grade database features.

How should I choose a membership management software?

To choose the right software, evaluate your technical resources, member count, and essential integrations. If you have a developer, a plugin like Paid Memberships Pro offers maximum flexibility. If you have limited staff, an all-in-one cloud platform like Join It or WildApricot reduces the technical burden of maintenance and security.

How does nonprofit member management software differ from other software?

Nonprofit-specific software prioritizes features like tax-deductible receipting, donor relationship tracking, and volunteer management. Unlike commercial subscription tools (like Netflix or Spotify), nonprofit software is designed to foster a two-way relationship, offering tiered “giving levels” and community directories rather than just access to a digital service.

What is the difference between built-in software and subscription software?

Built-in software (like WordPress plugins) lives directly on your website server, giving you full ownership and data control without monthly per-member fees. Subscription software (SaaS) is a cloud-based service where the provider handles all hosting, security, and updates for a monthly fee, offering a “hands-off” experience at a higher long-term cost.

Can I integrate my membership software with my existing CRM?

Yes, most modern platforms use API connections or Zapier to sync data. “Best-of-breed” tools like Join It are designed specifically to “talk” to external CRMs like Salesforce or HubSpot. In contrast, all-in-one systems like MemberClicks include a built-in CRM, eliminating the need for third-party integrations but offering less flexibility.

Does membership software handle event registrations?

Many high-quality membership tools include integrated event modules. This allows you to offer “Member-Only” ticket pricing automatically. If your software doesn’t have a built-in event tool, look for native integrations with platforms like Eventbrite to ensure your member database and attendee lists stay synchronized.
